This policy explains how Rentman B.V. (“Rentman”, “we”, “our”) collects, uses, and protects personal information through the Rentman MCP Beta Community (“the community”). It supplements — and does not replace — Rentman’s main privacy policy, which applies to your use of all Rentman services.
For questions about this policy, contact us at content-community@rentman.nl.
Who is the data controller?
Rentman B.V., a company registered in the Netherlands, is the data controller for personal information processed through this community. Our registered address and contact details are listed at rentman.io/contact.
If you have a privacy concern you’d prefer to raise directly with our Data Protection contact, write to content-community@rentman.nl.
What information do we collect?
We collect information from you when you register on the community and gather data when you participate by reading, writing, and evaluating the content shared here. Specifically:
- Registration information. When you create an account, you provide a username, email address, and password. Your email address is verified by a confirmation link.
- Profile information. Anything you choose to add to your profile — name, avatar, bio, location, links — is information you have provided voluntarily.
- Content you submit. Posts, topics, replies, direct messages, reactions, flags, and any other content you create on the community.
- Technical information. When you register and post, we record the IP address that the request originated from. We may also retain server logs that include the IP address of every request to our servers.
- Usage information. Pages viewed, time spent, links clicked, and similar metadata about how you interact with the community.
- Cookies. See Cookies below.
You may visit the community without registering, but some features (posting, receiving notifications) require an account.
What is the legal basis for processing your information?
We rely on the following legal bases under the EU General Data Protection Regulation (GDPR):
- Performance of a contract — to provide you access to the community and operate the service you’ve signed up for.
- Legitimate interests — to keep the community secure, prevent abuse, improve the platform, and respond to your inquiries. We have considered the impact on your rights and believe these interests do not override them.
- Consent — for any optional cookies, email marketing, or other processing where we ask you to opt in.
- Legal obligation — where we must process information to comply with applicable law.
What do we use your information for?
Any information we collect may be used in the following ways:
- To operate the community — provide your account, display your content, deliver notifications.
- To personalize your experience — your information helps us better respond to your individual needs.
- To improve the platform — we continually improve our offering based on the information and feedback we receive.
- To improve customer support — your information helps us more effectively respond to your support needs.
- To send transactional emails — notifications about changes to topics, replies to your posts, account-related messages, and responses to your inquiries.
- To ensure security and prevent abuse — detect spam, account takeovers, and policy violations.
We do not use your community information for advertising. We do not sell your personal information to third parties.
How do we protect your information?
We implement a variety of security measures to maintain the safety of your personal information when you enter, submit, or access it, including encryption in transit (HTTPS), encryption at rest where supported, access controls, and audited backups. The community is hosted on Discourse’s enterprise hosting infrastructure, which maintains its own security standards.
No method of transmission over the internet or storage is 100% secure. We use commercially acceptable means to protect your information but cannot guarantee absolute security.
What is your data retention policy?
We retain personal information for as long as necessary to provide the community and meet our legal obligations:
- Account and content: retained while your account is active and for a reasonable period after closure, in case you wish to reactivate or contest a closure.
- Server logs containing IP addresses: retained for no more than 90 days, then deleted or anonymized.
- Backups: may persist for a longer period as part of disaster recovery, but are not used for any other purpose.
When you close your account, we will delete or anonymize your personal information except where retention is required by law (for example, tax or accounting obligations) or to defend against legal claims.
Your rights under GDPR
If you are in the European Economic Area, United Kingdom, or Switzerland, you have the following rights regarding your personal information:
- Right of access — request a copy of the personal information we hold about you.
- Right to rectification — ask us to correct inaccurate information.
- Right to erasure (“right to be forgotten”) — ask us to delete your personal information, subject to legal exceptions.
- Right to restriction — ask us to limit how we use your information.
- Right to data portability — receive a copy of your information in a structured, machine-readable format.
- Right to object — object to processing based on our legitimate interests.
- Right to withdraw consent — where we rely on consent, you can withdraw it at any time.
- Right to lodge a complaint — with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local supervisory authority.
To exercise any of these rights, contact us at <contact_email>. We will respond within one month.
Do we use cookies?
Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser. They allow the site to recognize your browser and, if you have a registered account, associate activity with your account.
We use cookies for:
- Strictly necessary cookies — to keep you logged in, remember your session, and operate core community features. These do not require consent.
- Preference cookies — to remember your settings (dark mode, language, etc.).
- Analytics cookies — to understand how the community is used and improve it.
Where required by law, we ask for your consent before setting non-essential cookies. You can manage your preferences in your browser settings.
Do we disclose any information to outside parties?
We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties for their own marketing purposes.
We do share information with the following categories of recipients, under appropriate data protection agreements:
- Service providers who help us operate the community — for example, our community hosting provider (Discourse), email delivery services, and infrastructure providers. These parties are contractually bound to use information only as needed to provide their services.
- Legal authorities when we believe in good faith that disclosure is required to comply with the law, enforce our terms, or protect the rights, property, or safety of Rentman, our users, or others.
- Acquirers or successors if Rentman is involved in a merger, acquisition, or sale of assets, in which case affected users will be notified.
A current list of our key sub-processors is available on request.
International data transfers
Some of our service providers may process data outside the European Economic Area. Where this occurs, we use appropriate safeguards — such as the European Commission’s Standard Contractual Clauses — to ensure your information remains protected to GDPR standards.
Third party links
The community may include links to third-party sites, products, or services. These have separate and independent privacy policies. We have no responsibility or liability for the content and activities of linked sites. We seek to protect the integrity of the community and welcome feedback about these links.
Children’s privacy
The community is not intended for children under the age of sixteen. We do not knowingly collect personal information from children under sixteen. If you believe a child has provided us with personal information, please contact us at content-community@rentman.nl and we will take steps to delete it.
Scope
This privacy policy applies only to information collected through the Rentman MCP Beta Community. Information collected through other Rentman services is covered by Rentman’s main privacy policy.
Your consent
By using the community, you consent to this privacy policy and to the processing of your personal information as described.
Changes to this privacy policy
If we change this policy, we will post the updated version on this page and update the “last updated” date below. For substantial changes, we will notify registered users by email and may post a banner in the community.
